Key Concepts

Understand the core building blocks of Stagebound: organisations, roles, productions, and the casting pipeline.

Stagebound is built around a small set of concepts that fit together cleanly. Understanding them makes everything else in the product click into place.

Organisations

An organisation is your workspace in Stagebound. It represents your casting company, production house, or team. Everything in Stagebound — your productions, your performer data, your team members — lives inside your organisation.

You create one organisation when you sign up. If you work across multiple companies, each one would have its own organisation. Your team members are invited into your organisation and can only access the data that belongs to it.

Roles

Every member of an organisation has a role that controls what they can see and do.

When you invite someone, you choose their role. You can change a member's role at any time from your organisation settings.

Productions

A production is an individual casting project — for example, "West Side Story 2026" or "Spring Showcase Callbacks". Each production has its own pipeline, its own pool of performers, and its own settings.

You can run as many productions as you need, and your team can work across all of them simultaneously. Productions keep your casting projects cleanly separated so data from one show never bleeds into another.

Pipeline stages

The pipeline is the heart of Stagebound. Think of it like a kanban board: each column is a stage, and performers move from left to right as they progress through the casting process.

You define the stages yourself to match how your team actually works. A typical pipeline might look like this:

  • Open Call
  • Dance Call
  • Callback
  • Offered
  • Cast

When a performer checks in at your audition, they appear in the first stage automatically. From there, your team moves them forward — or cuts them — as decisions are made. Everyone on the team sees the same board in real time.

Performers

Performers are the people who audition for your productions. They appear in your pipeline after checking in via QR code at the audition, or after being added manually by a member of your team.

Each performer has a profile that holds their headshot, contact details, and any notes your team has added. Performers can fill out their own profile through the Stagebound performer portal, keeping their information up to date across every production they audition for.
